Refund Policy – Viago Experience Private Limited

This Refund Policy ("Policy") applies to all bookings, purchases, packages, and services made through Viago Experiences Private Limited ("Company", "we", "us", "our"). By making a booking or transaction with us, you acknowledge and agree to the terms set out below.

1. General Refund Policy

All sales made through our Website or authorised channels are considered final unless otherwise stated in this Policy. Viago Experiences Private Limited acts as a facilitator for travel packages, hospitality experiences, athlete travel support, and related services. Refund eligibility is subject to the rules, terms, and refund conditions of the respective event organisers and third-party service providers.

2. Event Tickets and Sports Hospitality Packages

Refunds for event tickets, hospitality passes, or entry credentials will only be processed if:

  • The official event organiser, governing body, or authorised ticketing partner offers a refund, and
  • The organiser transfers the refund amount to Viago Experiences Private Limited, and
  • The refund rules of the organiser permit end-customer reimbursement.

If the organiser does not offer a refund including for reasons such as rescheduling, format changes, venue changes, team changes, weather-related delays, or any decision deemed final by the organising authority no refund will be issued by Viago.

3. Travel Components (Air Tickets, Hotels, Transfers, Visas, etc.)

Refunds for travel-related services will be governed strictly by the individual supplier's cancellation and refund rules:

  • Air Tickets: Airline fare rules, cancellation penalties, and refund timelines apply.
  • Hotels & Accommodation: Subject to the hotel's cancellation/refund policy at the time of booking.
  • Transfers, Activities & Add-ons: Refund depends on the service provider's terms.
  • Visas & Documentation Services: Typically non-refundable, as these are processed immediately.

Viago will facilitate the refund process as per supplier policies but cannot guarantee refund approval.

4. Packages Containing Multiple Components

For packages that combine event tickets, travel, accommodation, and other services:

  • The event ticket portion will be refundable only if the organiser issues a refund.
  • Travel and accommodation portions will be refundable as per respective suppliers policies.
  • Any non-refundable components such as service fees charged by us will be deducted from the total refund amount.

5. Processing Time

If a refund is approved by the responsible organiser or supplier:

  • Viago will process the refund within 7–14 working days after receiving the refund amount from the organiser or third-party partner.
  • The refund will be issued to the original payment method, unless otherwise required by banking regulations.

6. No Refund in Certain Situations

No refund will be provided in any of the following cases:

  • Cancellations initiated by the traveller due to change of plans after we have confirmed bookings with event organisers and all relevant service providers.
  • Missed flights, no-shows, or delays caused by the traveller.
  • Event date changes, delays, or rescheduling where organisers do not refund.
  • Partial attendance or dissatisfaction with the event experience.
  • Any circumstance where organisers/suppliers explicitly declare: "No Refund."

7. Force Majeure

Viago is not liable for refunds in cases involving force majeure events, including but not limited to: natural disasters, political unrest, pandemics, government restrictions, strikes, war, or any situation where the organiser or supplier declares a no-refund policy.
